Translation Bureau in Qareli

Qareli is at the heart of a fruit-growing region - apple and peach orchards, cold storage farms, packing and processing plants whose produce goes abroad more and more often. Every step of exporting rests on a document: a certificate, an analysis, a contract, a label. At the same time seedlings, fertilisers and machinery come in from abroad, with instructions in foreign languages. TARGMANEBI serves Qareli with exactly this agricultural documentation - quickly, at the pace of the season.

A translation bureau for Qareli - TARGMANEBI's service for a municipality where the rhythm of the year is set by the harvest. In late summer and autumn documents are urgent - produce cannot wait; in winter we work more on contracts, certification and purchases for the coming season. Our scheme is the same in both periods: we receive the material electronically, confirm the price and deadline within working hours, deliver the file by email, and the courier brings certified paper to you in Qareli. Tbilisi is an hour away and the route runs regularly.

Fruit export and its documents

The export process rests on three groups of documents, and each of them goes to a different authority:

Product safety

  • Phytosanitary certificates and inspection records
  • Pesticide residue analysis results
  • Quality reports and sizing specifications
  • Descriptions of varieties, packaging and storage conditions
  • Safety documents for materials used

The deal

  • Contracts with the foreign buyer and their annexes
  • Invoices, packing lists and proof of origin
  • Transport and refrigerated shipping documents
  • Claims about quality and acceptance
  • Banking and settlement documents

Certification

  • Organic production standard documentation
  • Inspection and audit reports
  • Corrective action plans
  • Record-keeping procedures
  • Extracts from land history and maintenance logs

Two typical problems come up in this field. The first is the name of the variety and the product: the same fruit is sold under different names in different markets, and some documents require the Latin name. The second is figures: concentrations, temperature regimes, weights and batch numbers have to match the accompanying documents exactly. We check both separately, and for regular exporters we keep the agreed names in a stored list, which saves time on every new batch.

In season speed is our main criterion: a certificate and invoice translation is as a rule completed within working hours, with the bureau stamp and signature, which is sufficient for customs procedures.

Seedlings, machinery, technology

Renewing Qareli's orchards depends on seedlings and rootstocks imported from abroad, and storing the harvest depends on cold storage and packing technology. So we often translate the documents and certificates that come with seedlings, descriptions of planting material and care recommendations, instructions for fertilisers and plant protection products, and manuals for cold rooms, grading lines and packing machinery. With plant protection products it is especially important to carry over doses, application periods and pre-harvest intervals exactly - whether the produce passes a residue check depends on precisely these data. From a machinery manual we often translate only the chapters that are needed: operation, maintenance, safety - which reduces the cost considerably.

Programmes, grants, cooperatives

Some Qareli farms take part in state and international programmes - planting orchards, building cold storage capacity, co-financing machinery, switching to organic production. Such projects require their own documentation: an application, a business plan, a financial forecast, reports, terms of reference and, when working with a foreign partner, memoranda and contracts. We translate this material and keep the structure of the financial tables and indicators. Advisory texts are also frequent - foreign agronomic recommendations, orchard care manuals, variety studies - which we translate into Georgian for farmers in simple, practical language.

Families, seasonal workers, personal papers

Qareli's orchards need a large workforce in season, and for the rest of the year many family members go abroad to work - most often for the agricultural season in Poland and other European countries. For them we prepare a standard package: a Georgian version of the invitation and employment contract, health and criminal record certificates in the receiving country's language, with an apostille where needed. After they return it is the other way round - certificates issued there, translated into Georgian. On top of this come ordinary family papers: education documents, medical histories, powers of attorney, consents for children's travel. In such cases we have one piece of advice - send all the papers together: the spelling of names is settled at once and the courier comes only once, which matters especially in season, when there is no time to spare.

One more practical point about seasonal work is the text of the invitation: that is often exactly where it says for what period, at what pay and under what conditions a person is going. If the document is only in a foreign language and nobody read it before signing, the problem only shows up on site. Our advice does not change - always have a Georgian version of the invitation and the contract prepared before departure; it is a small cost compared with a season's earnings.

Orchard owners also often need land-related documents translated: Public Registry extracts, lease and co-ownership agreements, property valuation reports - when they deal with a bank, an investor or a foreign partner. In such texts areas, cadastral codes and boundary descriptions are checked separately, because these are exactly the data on which the next procedure tends to stall.

How to order

1

A photo from the orchard or the cold store

Send it by WhatsApp to 501 113 200 or to info@targmanebi.ge; ideally all the documents for one batch together, so that we can cross-check the numbers.

2

Where the document is going

Customs, the buyer, a certification body or a programme - the language and the form of certification depend on this.

3

Translation and checking

Agricultural and technical texts are handled by a translator in the matching field; figures, varieties and batch numbers are checked separately.

4

Delivery

You receive the file as soon as it is ready, and the courier delivers the notarized original in Qareli or on the Gori route - whichever suits you.

Price and deadlines in season

A client in Qareli pays the same as one in Tbilisi, with the price agreed after we see the document. We return a certificate and invoice with our stamp within the working day, a contract in two days, an organic standard audit package in up to four days. A machinery manual takes as long as the number of chapters needed, and a business plan and application are handed over in stages so that you can fill them in in parallel. A personal document with notarization is ready in two days; for an apostille the procedure sets the deadline. At the peak of the harvest an urgent order does not wait in the queue - fruit cannot wait, and we understand that well. The buyer's identity, the agreed price and the analysis results are a trade secret for us. The sole trader Mariam Zumadze (ID 30601010853) works under the bureau's brand, so an exporter always receives a properly drawn invoice and contract - essential for the accounts department. We correct our own mistakes at our own expense.

A batch is leaving the cold store and you need the certificate translated? A new buyer is offering you a contract? Seedling documents have arrived in a foreign language? Write to us from Qareli - in season we work in urgent mode.

Frequently asked questions - translation in Qareli

We import seedlings from abroad. Are the accompanying papers translated?

Yes - planting material certificates, variety and rootstock descriptions, phytosanitary documents and care recommendations. We keep variety names in their original form and, where needed, add the Latin name as well, so that nothing gets mixed up later.

A batch of apples is leaving and customs needs a translation. How long does it take?

The certificate, invoice and packing list within working hours, often within a few hours, as a file with the bureau stamp. For regular exports we keep a template, and for each new batch only the weight, date and numbers change.

We are moving to organic certification. Is the audit material translated?

Yes - the standard's requirements, inspection reports, corrective action plans and record-keeping procedures. We fix the terminology once so that it is the same in every document - this matters especially to the auditor.

The instructions for a plant protection product are in a foreign language. Which part is essential?

The dose, application period, indications and contraindications, and the pre-harvest interval - these must be carried over exactly, because they bear directly on product safety. The rest is usually unnecessary; as soon as we see a photo we will tell you which part is worth translating.

A foreign buyer is offering us his own contract.

We recommend a Georgian translation before signing - especially of the clauses on quality parameters, acceptance, settlement and claims. If you wish, we can also prepare a bilingual version so that both sides have one and the same text.

The manual for the cold storage equipment runs to hundreds of pages.

Translating it in full is rarely worth it - the chapters the operator and technician rely on every day are enough, plus the parameter tables. Send us a photo of the table of contents and we will mark which parts are actually useful.

They have asked for temperature records for produce kept in cold storage. Is that translated too?

Yes - storage regime records, temperature logs and the technical data of the cold store are often part of a buyer's or inspector's requirements. We compare figures and units with the original separately and keep the table layout, so that comparison is easy.

We need a business plan in English to take part in a programme.

We translate it and keep the structure of the financial tables, because that is what the assessor reads first. If the deadline is short, we hand the text over in parts so that you can fill it in and check it in parallel.
