Criminal Record Certificate Translation in Georgia

A criminal record certificate (in Georgia formally a certificate on conviction, issued by the Ministry of Internal Affairs) is one of the most time-sensitive documents in any immigration or employment file, because most authorities accept it only if it is recent. TARGMANEBI translates and notarizes Georgian certificates quickly, plans the apostille so that the validity window is not wasted, and translates foreign police clearance certificates into Georgian for residence permits and licensing in Georgia.

  • Georgian conviction certificates translated and notarized, usually within one working day.
  • Apostille and translation scheduled so the certificate is still "fresh" on the day of submission.
  • Foreign police clearance certificates (FBI, ACRO, Führungszeugnis, casellario giudiziale and others) translated into Georgian.
  • Correct legal terminology for "no record", "expunged" and pending-case wording.

The Georgian conviction certificate: what it is and how it is issued

In Georgia the document known internationally as a police clearance or criminal record certificate is the certificate on conviction issued by the Service Agency of the Ministry of Internal Affairs. It states whether the person has a conviction record in Georgia and, if so, lists the relevant details. It can be requested at Public Service Halls and Ministry of Internal Affairs service centers, and in many cases online through the electronic government portal, with delivery as a PDF bearing an electronic signature or as a printed document with a stamp.

The certificate is issued in Georgian, and for some purposes it can also be issued in English. Even when an English version exists, foreign authorities in non-English-speaking countries require a translation into their own language, and many institutions want a notarized translation of the Georgian original rather than an unofficial English rendering. When the certificate is delivered electronically, the receiving side may require a printed version certified by a notary before it can be apostilled; we tell you which form to request so that the document can be apostilled and translated without going back for a second copy.

Foreign nationals who have lived in Georgia can obtain the same certificate for the period of their residence, which is frequently required when they later apply for residence, citizenship or a work permit elsewhere. We translate it into the language of their destination and arrange the apostille on their behalf if they have already left the country.

Where the translated certificate is required

Almost every long-stay visa and residence permit application asks for a criminal record certificate from the country of citizenship and from every country where the applicant lived for more than a few months. Work permits in Poland, the Czech Republic, Germany, Italy and the Gulf, family reunification visas across the EU, student visas in some countries, skilled migration to Canada and Australia, and green card applications in the United States all require it. Beyond immigration, it is requested for professional licensing (medical, teaching, security, aviation), for employment with children or vulnerable people, for adoption, for firearms licenses, and for volunteer programs abroad.

In Georgia, foreign nationals submit translated police clearance certificates from their home country when applying for a residence permit, when applying for Georgian citizenship, when seeking employment in regulated sectors, and when adopting. The certificate must carry an apostille or consular legalization from the issuing country and a notarized Georgian translation. Georgian employers hiring foreign staff sometimes ask for the same document for internal compliance.

Validity periods and why sequencing matters

The certificate itself does not carry an expiry date, but almost every receiving institution imposes one: three months is common for EU visa and residence applications, six months for many employers and licensing bodies, and some countries count the validity from the date of issue while others count from the date of the apostille. Because the apostille can take several working days and a courier abroad several more, a certificate ordered too early can expire before it is submitted.

We therefore plan backwards from the submission date. We tell you when to request the certificate so that it is fresh, arrange the apostille as soon as it is issued, translate the certificate and the apostille together, and notarize the translation in the same week. For clients abroad, the whole chain can be handled by our representative with a power of attorney, and the finished package is sent by courier with tracking. If a deadline is close, say so in your first message: a conviction certificate is one of the few documents where we can genuinely compress the timeline, but only if the apostille request goes in on time.

Terminology: what "no conviction" must and must not say

A criminal record certificate is short, but its wording carries legal weight and translators who treat it as a formality cause real harm. The Georgian certificate distinguishes between having no record, having an expunged or spent conviction, and having a conviction that is still on record; some versions also refer to ongoing criminal proceedings. Each of these must be rendered with the term the destination country's authorities use, and never softened or overstated. Translating "conviction expunged" as "no conviction" is a misrepresentation; translating "no record found" as "has never been investigated" claims something the certificate does not say.

We use the established terminology for each destination: the wording of the German Führungszeugnis, the Italian casellario giudiziale, the Polish Krajowy Rejestr Karny, the British ACRO certificate, the American FBI identity history summary and the Spanish certificado de antecedentes penales, so that the officer reading the translation recognizes the concept at once. Names, dates of birth and personal numbers are copied against the passport, since a mismatch here is a common reason for an authority to request a new certificate.

Foreign police clearance certificates translated into Georgian

For residence permits and citizenship applications in Georgia we regularly translate certificates from Russia, Ukraine, Belarus, Kazakhstan, Turkey, Iran, India, Pakistan, Nigeria, Egypt, the United Kingdom, the United States, Germany, Italy and the Gulf states. Formats vary widely: an FBI summary is several pages with fingerprint classification codes, a British ACRO certificate includes a section on data protection, a German Führungszeugnis arrives sealed and must be opened by the receiving authority, and certificates from some countries are issued only in Arabic or Persian with a bilingual stamp.

The translation into Georgian covers the entire document, including the apostille or consular legalization, disclaimers and reference codes, and is notarized in Tbilisi. If the certificate was issued in a language other than English and the client only has an English translation from home, we translate from the original whenever it is available, because Georgian notaries certify translations from the source document, not from a translation of it.

Process and typical timeline

Send a scan or photo of the certificate, or tell us that you still need to order it and give us the submission date. We confirm whether the destination needs the apostille on the original, on the translation, or both, and whether an electronic certificate must be converted into a paper version first. The translation is prepared and checked against the passport spelling, the translator signs it before a notary, and the package is bound with a notarized copy or the original, as you prefer.

For a Georgian certificate already in hand, translation and notarization normally take one working day. When the apostille is still needed, the apostille processing time is added. When the certificate must first be ordered, we advise on the fastest issuance route. Everything can be collected at our office on Davit Aghmashenebeli Avenue or delivered by courier within Georgia or abroad.

What to send for a criminal record certificate translation

Send the certificate as a scan or photo, or the PDF if it was issued electronically. Tell us the destination country, the institution and the date by which it must be submitted, because that date decides when the certificate should be ordered and apostilled. Include a photo of the passport data page so that the name and date of birth match exactly.

If you are a foreign national submitting a certificate in Georgia, send the original with its apostille or legalization and, if it is not in English, the original-language version rather than a home-country translation.

Deadline approaching for a visa or work permit file? Send the certificate and the date, and we will schedule the apostille and translation around it.

Questions and answers

How long is a Georgian criminal record certificate valid abroad?

The certificate has no printed expiry, but most receiving institutions accept it only if issued within the last three or six months. We plan the apostille and translation so that it is still within that window when you submit it.

Can the certificate be issued in English so I do not need a translation?

In some cases an English version is available, and English-speaking institutions may accept it. Non-English destinations and many embassies still require a notarized translation of the Georgian original into their language.

I received the certificate as a PDF with an electronic signature. Can it be apostilled and translated?

Translation is no problem. For an apostille, some authorities require a paper version or a notarized printout first; we tell you which form to request so that you do not need to order twice.

I left Georgia years ago. Can I still get and translate a Georgian certificate?

Yes. The certificate can be ordered online or through a representative with a power of attorney. We arrange the apostille and translation and courier the package to you.

How is an expunged or spent conviction translated?

Exactly as the certificate states it, using the term the destination country's authorities use for the same concept. We never simplify it to "no record".

Do you translate foreign police certificates for a Georgian residence permit?

Yes, from any language, including the apostille or legalization page, with notarization in Tbilisi. We translate from the original-language version whenever it exists.

How quickly can the translation be done?

A certificate already in hand is usually translated and notarized within one working day. If the apostille is still needed, its processing time is added.
