This difference cuts both ways. On the one hand it saves money: there is no notary fee in this case. On the other it creates a risk: if the translation comes without a declaration, or with an incomplete one, UKVI will not accept the document - not because of the quality of the translation, but because of a formal defect.
Below we look at what the declaration must contain, which documents are translated most often and where people make mistakes.
What UKVI requires from a translation
Under the British standard, every translation must be accompanied by a confirmation that contains four essential elements.
Four mandatory elements
- Confirmation that it is an accurate and complete translation of the original
- The date of the translation
- The translator's full name and signature
- The translation company's contact details
What this means in practice
- A bureau stamp alone is not enough
- A machine-translated file will not do
- The translator must be identifiable
- UKVI must be able to get in touch to verify
What is not needed
- Notarization - usually not
- An apostille on the translation - usually not
- Official "sworn translator" status - the UK has no such system
- A translation made in the UK - no, it can be done in Georgia
This is a real place to save money. Many clients arrive convinced they need a notary, because that was the case for every other visa. With UKVI a notary is usually an unnecessary expense. But always check the instructions for your specific application - exceptions exist.
Which documents are translated most often
The list depends on the type of visa, but four categories appear almost every time.
Financial documents. A bank statement to show financial stability - often with several months of history. Two details are critical here: every page must be translated with nothing left out, and the bank's stamp and signature must also appear in the translation. Employment letter. Stating your position, salary and length of employment. If the job title is specific, its English equivalent must be chosen with thought - a machine translation often produces nonsense here. Property documents. A register extract for real estate, when you need to show ties to Georgia. Cadastral codes and areas must match digit for digit. Family documents. Birth and marriage certificates, especially when you travel with family or prove a family relationship. For a student visa add the diploma and its supplement, the school certificate and often the sponsor's financial documents.
The five most common mistakes
1. Partial translation. The client thinks only the closing balance of the bank statement matters and asks for one page to be translated. UKVI needs the full document. A partial translation is a direct ground for refusal. 2. No declaration. The translation is good, it has a stamp, but no declaration is attached or it is incomplete. This is the most common formal defect. 3. Wrong spelling of the name. A Georgian name is written in a specific Latin form in the passport. If the translation uses another form, the officer sees two different people. There is one rule: always the passport spelling. 4. The age of the document. The bank statement and the employment letter must be recent. A flawless translation cannot save a document that is already out of date on the day you apply. 5. Starting late. Many people wait for the appointment confirmation and only then start translating. If there are several documents and one of them has to be obtained again, that time is often not enough. The visa type and what changes in the package
All four main routes share the same logic, but the emphasis differs - and the emphasis decides which document deserves the most attention.
Visitor (Standard Visitor). The main question the officer is trying to answer is: why will this person come back? So the documents that show your ties to Georgia matter most here - work, property, family. The financial statement serves the same logic. Student. Here the education documents and the sponsor's financial stability are at the centre: the diploma and supplement, school certificate, language certificate, the sponsor's statement and a document proving the sponsor's relationship to you. Work. The employer's documents are usually in English and need no translation. Instead, your Georgian qualification documents are translated and, sometimes, letters confirming work experience. Family. The most document-heavy type: the marriage certificate, the children's birth certificates and material proving life together. Consistent names are especially critical here, because several people's documents sit in one package. How we prepare a UKVI package
When we work on a UKVI package, one translator handles every document. This matters, because one application often has the same names, organisations and job titles in five or six documents - and they must read the same everywhere.
Each document comes with a declaration containing all four required elements. If your application needs specific wording - for example, a lawyer or an agency gave you a particular text - send it to us and we will prepare it in exactly that form.
An editor checks the figures: account numbers, amounts, dates, salary and cadastral codes. The full process is described on the quality control page.
Delivery is usually electronic, because the UKVI application is uploaded online. If you also need a printed version, you can collect it at our Tbilisi office at 118 Davit Aghmashenebeli Ave or receive it by courier.
In what order to act
Collect every document
Gather the full package first and send it to us in one go. That way one translator works on everything and the names are identical throughout.
Check how recent the documents are
The bank statement and employment letter must be recent. If they are old, get new ones first - then translate, in one go.
Send the application instructions too
If a lawyer or agency gave you specific wording for the declaration, send it to us. We will prepare it in exactly that form.
Compare the name with the passport
On delivery, check that the name and surname match the passport letter for letter in every document. This is the check you do yourself.
Price and deadline
The price is set by agreement after we see the material. In a UKVI package the bank statement usually affects the cost most, because it is normally the largest item - several months of history with dozens of transactions.
Good news for your budget: since a notary is usually not needed, the cost you skip often covers a significant part of the translation. The notary fee and the apostille state fee normally do not appear in this package at all.
Timing: standard documents the same or the next day; a multi-page bank statement depends on volume, usually one or two days. Guide figures: translation prices.

Does UKVI need notarization?
Usually not. The British system asks for a translator's declaration, not a notary - a statement that the translation is complete and accurate, with the date, the translator's name, signature and the bureau's contact details. This saves the notary fee. But always check the instructions for your specific application.
Must the bank statement be translated in full?
Yes, in full. A partial translation - for example only the closing balance - is a direct ground for refusal. UKVI looks at the pattern of transactions, not just the last figure. The bank's stamp and signature must also appear in the translation.
Will I need an apostille?
Usually not for a UKVI visa application - it does not need international confirmation of the document's authenticity; a certified translation is enough. You may need an apostille for other procedures, such as enrolling at a British university or registering a marriage. The exact answer is in the recipient's instructions.
Does the translation have to be done in the UK?
No. The UK has no "sworn translator" system, so the translation can be done in any country by a professional bureau, as long as it carries a proper declaration. A package prepared in Georgia is fully acceptable.
Is an electronic version enough?
The UKVI application is uploaded online, so in most cases yes - a PDF file is enough. You will need a printed version if you hand documents in physically at a visa centre. Both forms are available.
How long is a translation valid?
The translation itself does not expire, but the document does. If you have a bank statement translated a year ago, the translation is fine but the statement is out of date - you need a new statement and its translation. For a birth certificate an old translation will still serve.
