This page is for anyone proving their income for a visa, studies or residence: employees, individual entrepreneurs, freelancers, students supported by a parent, and pensioners. We explain what an employment letter should say, how to get a certificate from RS.ge and why all these documents should be translated together, using the same terms.
The translation is ready the same or next day, with notarization if needed. We translate into English, German, Italian, French, Spanish, Polish, Russian and other languages.
Why a bank statement alone is not enough
A visa officer looks for two things in your financial documents: whether the money is enough for the trip, and whether it is your regular, explainable income. The UK Home Office guidance, for example, says plainly that financial documents should also show where the money comes from. A bank statement only shows the figures; the source is explained by other documents:
- The employment letter confirms that you are employed, in what position and on what salary, and that you will return to work after the trip;
- The RS.ge certificate confirms the same income, and the tax withheld from it, from a state source;
- The bank statement shows that this salary actually arrives in your account every month.
The three documents must match each other: the salary stated in the letter, the income shown in RS.ge and the amount credited in the statement. If one of them does not match, the officer looks for an explanation, and the lack of an explanation is a common reason for refusal.
The employment letter may state the gross salary (before tax), while the statement shows the net amount you receive. That is normal, but it is better if the letter gives both amounts, or at least says which one it shows - then the officer has no reason to ask.
What an employment letter should include
Many employers write an employment letter in two sentences. For a visa that is not enough. Before the letter is signed and you send it to us for translation, check that it contains:
- the full company name, identification code, address and phone number, so the embassy can contact the employer;
- the employee's first name, surname and personal number;
- the position and the start date of employment;
- the monthly salary and the currency;
- the leave period covering the travel dates, and a statement that the job is kept for the employee during this period;
- the signatory's name, surname and position, the date of issue and the company seal, if the company uses one.
Use a recent letter: many consulates require it to be issued shortly before the application. If some detail is missing from the letter, the translator cannot add it - the translation reflects the original. So we tell you about any gap as soon as we start translating, so that the employer can complete the letter.
The Revenue Service (RS.ge) certificate
The employment letter is written by the employer, so some consulates check it against an independent source. In Georgia that source is a certificate from the Revenue Service. After logging in to RS.ge, an individual can request information on personal income in the form of a certificate (in Georgian: "პირადი შემოსავლების შესახებ ინფორმაცია ცნობის სახით"). The certificate shows which tax agent paid you what income and how much tax was withheld.
According to RS.ge, an application submitted electronically on the portal, and a document issued on the basis of it, have the same legal force as a paper document. When translating the certificate, we take particular care with:
- the names and identification codes of the tax agents;
- the reporting periods, month by month;
- the income amounts and the personal income tax withheld;
- the certificate number, the date of issue and the verification details, so that the recipient can match the translation to the original.
Send us the PDF file itself, not a screenshot. If the certificate lists several employers, all of them are translated, even if only one job matters for the visa: a partial translation of a document makes the officer suspicious.
Individual entrepreneurs, freelancers and company owners
If you are not employed, nobody can issue you an employment letter. Your income is then confirmed by other documents, and they are translated too:
- Individual entrepreneur - an extract from the Registry of Entrepreneurs, the document granting small business status, if you have that status, and the returns filed on RS.ge;
- Freelancer - contracts or invoices with foreign clients and a bank statement showing the transfers received from them;
- Company owner or director - a registry extract showing your role, a document confirming dividends or salary and, if needed, the company's financial statements. For large financial statements, see financial statements and audit report translation.
Here it is especially important that the company name is written the same way in every translation: in the registry extract, the invoices and the bank statement. If the company has an official English name, we use it.
Students, unemployed people and pensioners: sponsor documents
If someone else is paying for your trip or studies, the embassy asks for proof of that person's income. The usual package includes:
- a sponsor letter in which the sponsor confirms that they cover the costs;
- the sponsor's employment letter, RS.ge certificate and bank statement;
- a document proving the family relationship, for example a birth certificate;
- for a student - a certificate from the school or university and, in the case of a scholarship, a letter confirming the scholarship;
- for a pensioner - a bank statement showing the monthly pension payments.
The names of the sponsor and the applicant must be written in every translation exactly as in their passports. That is why we ask for copies of both passports when you order.
Why all the documents should be translated together
The most common problem we see is not the quality of the translation but inconsistency: one translator translated the employment letter, another the bank statement, and the client translated the RS.ge certificate with an online translator. As a result, the same surname is spelled three ways, the position two ways, and the company name was translated in one document and transliterated in another.
When we translate the whole financial package together:
- your first name and surname are written everywhere as in your passport;
- the company name and your position are the same in every document;
- amounts, currency and dates follow one rule, with the month in words (3 July 2026);
- we check whether the salary in the letter matches the amount credited in the statement, and tell you about any mismatch before translating.
The details of bank statement translation, including internet banking PDF files, are described on the page bank statement translation.
Certified or notarized translation
The same rule applies to employment documents as to bank statements: the recipient decides the form. The UK guidance asks for a translation with the translator's confirmation, date, signature and contact details, without a notary. Some consulates of Schengen countries require notarization for a national visa. Universities often accept a certified translation.
Send us the embassy's or university's checklist and we will tell you which form you need. More details: does a bank statement need notarization.

Do I need a translation of my employment letter for a visa?
If the letter is in Georgian and the embassy asks for it in its checklist, yes. The letter has to be translated into a language the embassy accepts, often English or its own language. Some employers issue the letter directly in English, and then you do not need a translation.
What is the RS.ge income certificate and where do I get it?
It is a Revenue Service certificate on the income, and the tax withheld from it, that tax agents have declared for you. After logging in to RS.ge, an individual can receive this information in the form of a certificate.
The salary in the letter differs from the one in the bank statement. Is that a problem?
Often this is because the letter states the gross salary and the statement shows the net amount. It is best if the letter says which amount it shows. We tell you about the difference before translating, but we do not change the original in the translation.
I am an individual entrepreneur. What do I submit instead of an employment letter?
Usually an extract from the Registry of Entrepreneurs, the returns filed on RS.ge, the small business status document, if you have that status, and a bank statement. We translate all of them together.
Does the translation of an employment letter need notarization?
It depends on the recipient. The UK accepts a certified translation, while some consulates of Schengen countries require notarization for a national visa. Send us the checklist and we will tell you.
How long does the translation take?
The same or next day, notarization included, for the whole financial package.
My parent is supporting me. Do their documents need translating too?
Yes. The embassy checks the sponsor's income, so the sponsor letter, the employment letter, the bank statement and the document proving the relationship, for example a birth certificate, are all translated.
